How to get receipts into QuickBooks Online (CSV)
QuickBooks Online's own receipt capture uploads every image to Intuit. If you'd rather keep receipts on your device, you can still get the numbers in.
Option A — upload as transactions to match (Pro)
- Convert your receipts in TillSheet and download QuickBooks. It's the 3-column format QuickBooks accepts for bank uploads: Date (MM/DD/YYYY), Description (vendor · number · category) and Amount (spending is negative).
- In QuickBooks Online go to Transactions → Bank transactions → Link account ▾ → Upload from file.
- Pick the CSV, choose the account the receipts were paid from (e.g. a credit card or a "Receipts to review" clearing account) and map the three columns.
- Categorise or match each transaction in the For review tab.
Tip: if the same card's bank feed is already connected, upload into a separate clearing account so the receipts don't duplicate the feed.
Option B — spreadsheet for review (free)
Download Excel and send it to your bookkeeper, or use it as the backup schedule for an expense report. The Summary sheet totals spending per category.
Reconciling against your bank? If you only have PDF bank or card statements, TidyLedger (our sister tool, same no-upload approach) turns them into CSV or QBO files QuickBooks can import.
